Privacy policy

The short version: this website collects what you type into a form, plus basic statistics about visits. We use it to reply to you and to see which pages help families. We don't sell your information. There are no ads and no tracking pixels on this site.

Please keep health details out of forms and email. That means your child's diagnosis, medical history, and anything like it. Call us instead at (804) 420-2273. Karlie will ask for what she needs on the phone.

Who we are

KL Therapy Services, PLLC is a pediatric speech, language, and feeding therapy practice in Richmond, Virginia. Karlie Libraro, M.S., CCC-SLP, owns it. When this page says "we", it means the practice. You can reach us at info@kltherapyservices.com or (804) 420-2273.

This page and your child's health information

This page is about the website. Because we bill health insurance, a federal privacy law called HIPAA applies to the health information we hold about your child. How we handle that information during therapy is in our Notice of Privacy Practices.

Which law covers which records

Two federal laws can apply. Which one depends on how we work with your child.

• Private practice. If your child is our patient, HIPAA covers their records. Our Notice of Privacy Practices explains your rights.
• School placements. When we serve a student through a school contract, the school holds the record. A federal law called FERPA covers it. Think of FERPA as HIPAA for schools. To see or correct a school record, ask the school.

School teletherapy works the same way. The sessions and records follow the school's systems and rules, not this website.

What we collect and why

We only get personal information when you choose to send it. You can read every page on this site without filling anything out.

When you send us a form

Each form asks for a little information, and we use it to reply to you.

• Contact form: your first and last name, your email, a topic, and a short message. Your phone number is optional.
• Free consultation request: your first and last name, email, and phone number. The best times to reach you and a short note are optional.
• Question form: your name, email, and question.
• Check your coverage: your first and last name, email, phone number, and the name of your insurance plan, so we can see whether we're in network.
• Careers inquiry: your name, email, the area you're interested in and, if you like, a note about your experience.
• Referral form: your first and last name, email and phone number, whether you're a professional or a family member, and your organization or your relationship to the child. It doesn't ask anything about the child.

Where your form goes

Every form goes to a small form service we run on Amazon Web Services. It turns your form into an email and sends it through Amazon SES, a mail service from Amazon. Most forms arrive at info@kltherapyservices.com. Referrals go to Karlie's own inbox.

The form service doesn't keep a copy of a form it delivers. If a form can't be delivered, or looks like spam, the service logs it for up to 30 days so it can be checked. The person who maintains our website can read that log.

When you visit the site

We use Google Analytics to see how many people visit, which pages they read, how they found us, roughly where they are, and what device and browser they use. We see these numbers as totals, not as a list of who you are.

It also counts two things you do: tapping our phone number, and sending a form. For a form, Google gets the name of the form and which button opened it. It never gets anything you typed.

We've turned off Google signals, which links activity across a person's devices, and ad personalization. Google Analytics keeps this data for 2 months.

The company that hosts the site also keeps standard server logs. They record technical details for each visit, such as your IP address, your browser and the pages you loaded. They're used to keep the site running and secure.

Services that help us run the site

We're a small practice, so we use a few outside services. Each one handles your information only to do its job for this site, under its own privacy policy.

• Amazon Web Services hosts the website (AWS Amplify), runs the form service, and sends the form emails (Amazon SES). AWS privacy notice
• Google runs Google Analytics. Our business email also runs on Google, so form messages and emails to us are stored there. Google's privacy policy and how Google uses information from sites that use its services

Cookies and ads

Google Analytics sets a few small cookies in your browser. Their names start with _ga. They help it tell new visits from return visits. Those are the only cookies on this site, and this site stores nothing else on your device.

There are no advertising cookies, no tracking pixels, and no ads.

If you'd rather not be counted, Google offers a free Google Analytics opt-out browser add-on. You can also block or delete cookies in your browser settings. The site works the same either way.

Your child's information

This site is for adults. It isn't meant for children, and we don't knowingly collect information from children.

Ordinary email and website forms aren't the right place for health details. Please don't send evaluations, reports, diagnoses, or insurance member numbers that way. A sentence or two about what you're hoping for is plenty. If you send something by mistake, tell us and we'll talk about what to do.

How long we keep it

We keep what you send through the website for as long as we need it for the reason you sent it, or as long as the law requires. Your child's therapy records are separate. They follow our Notice of Privacy Practices, and school records follow the school's rules.

Who sees it

We don't sell your information, rent it, or share it for advertising. The only people who see it are Karlie, the practice, and the services listed above when they're doing their job for this site. We'd share it otherwise only if the law required it.

Your choices and requests

You can ask us to:

• tell you what information we have about you from this website
• correct something that's wrong
• delete it, except anything we're required to keep

If this site starts collecting something new or uses a different service, we'll update this page and change the date at the top.
